Adjunct faculty members are highly encouraged to attend Faculty Development Days (FDD)ย each semester; they are typically scheduled on the Wednesday through Friday before the fall and spring semesters begin.

Office Hours
Compensatory office hours for adjuncts must be approved by your direct supervisor to ensure you are eligible per load hour and Affordable Care Act requirements.
Your supervisor will contact you regarding eligibility and physical location (if needed).
If eligible, adjunct faculty may schedule one office hour each week per assigned course.
Scheduled office hours must be strictly adhered to throughout the term, and the detailed office hour information (time, physical location, and/or Zoom link) must be included on the course syllabus.
The office hour must be held in a 60 a consecutive minute block and not divided into increments.
You must be physically or virtually present during the entire hour.
Include a Canvas announcement including office hour information and updated syllabus.
Email updated syllabus to your direct supervisor.

Utilize the current Waubonsee Syllabus Template, inserting the course description, objectives, outcomes, etc. from the active course outline, plus utilize all adopted course textbooks and materials.
Prior to class

Post course syllabi within the LMS no later than the first day of class.
Syllabi must be emailed to your division office no later than the first day of class
Syllabi file names must utilize the following naming convention:
Course prefix and number, section number, and last name (i.e., 201BUS100.001 Lee)

Distribute and review the course syllabus with students during the first class period.

Model professionalism to students through attire, classroom presentation, and all interactions including both verbal and written communications.
Always
Adhere to the printed course schedule meeting times and location. Class may not be released early or cancelled except inย emergency situations. If such a situation does occur, you must contact your division office immediately.

Utilize Waubonsee resources as the mode of electronic communication with Waubonsee students, staff and administrators. In addition to your assigned Waubonsee email๐, Canvas can also be used to communicate via Messages and Announcements to students.

Respond to emails from students, staff and Waubonsee administrators within two business days of the email being sent. (Monday through Friday are considered business days). Save all email correspondence so that in the event of an issue, documentation is available.

Maintain individual student grade and attendance records within the LMS for student access; records must be kept for a minimum of one year after the course has been completed.
Ongoing, throughout the semester
Check your Waubonsee faculty mailbox each time you are on campus. Mail and other important college-wide information will be placed there throughout the semester.
Locate your mailbox prior to semester start.
Direct students who are not on your class roster, but are attending class, to the Registration and Records department. Only students who are currently registered for your course may attend class. Continue to review the class roster throughout the term for accuracy.
First day of class and throughout the semester
Familiarize yourself with the Academic Calendar. Schedule all final exams, projects, presentations, and assessments during the last week of the semester. There is no final exam week schedule; all classes meet during their scheduled times.
Final week of the course
Utilize classroom technology for both course management as well as content presentation (i.e., LMS, visual media via projector or document camera, etc.).
Your syllabus and handouts must be posted in the LMS for every section you teach, at a minimum.
Grades must be accurate and maintained weekly.
Using an announcement feature for communicating with your class is recommended.
Provide instructions, and assist students as necessary, regarding how they are to utilize theย technology and requirements you've included in your course (how to upload assignments to the LMS, utilize messaging, etc.)
Notifications and due dates will be sent via email.
Student evaluations for your course(s) are delivered to your mailbox (for face-to-face courses) and are administered online for hybrid and online courses.
Student course evaluations for face-to-face courses are to be administered according to the procedures and deadlines set by Instruction.
Designate a student to administer the evaluations.
Step out of the classroom while evaluations are being completed.
The designated student will administer, collect, and seal the evaluations in the enclosed envelope.
The designated student is to deliver the completed evaluations to the nearest division office.
Notification of delivery, due dates, and instructions will be made at the appropriate time.
Attendance and Absences

In the event of tardiness or absence, faculty members are expected to notify their division office as soon as possible.
Division offices are open during regular business hours, Monday - Friday, 7:30 a.m.-4:30 p.m.
Outside of regular business hours, faculty should contact their division office, Assistant Dean, or Dean via phone and email first. Notification must also be provided to the appropriate Building Services Specialist. Contact information is available via the Directory Search.
All substitute faculty must be approved, in advance, by the Assistant Dean or Dean who may approve the use of substitutes, at their discretion, when an instructor cannot attend a class session due to an extenuating circumstance or situation. It is your responsibility, as the instructor, to proactively contact the Assistant Dean or Dean to discuss the situation and request substitute instruction.

For large copy jobs (more than 50 single-sided), use the Copy Center at the Sugar Grove Campus. Be sure to give the Copy Center 24 hours to complete your order. Smaller copy jobs can be completed on the copiers in the copy and/or faculty workrooms.
